The Company: Our client are a family-run mechanics business located in Naas, Co. Kildare. With a strong reputation for delivering exceptional customer service and high-quality workmanship, we are looking for a dedicated and organized individual to join our team as a Front of House Administrator / Bookkeeper. This role is central to the smooth running of our business, combining administrative, customer service, and financial responsibilities.
Key Responsibilities:
Customer Service & Administration:
Serve as the first point of contact for customers, both in person and over the phone.
Answer incoming calls, respond to customer inquiries, and provide information about our services.
Schedule and manage appointments for NCTs, vehicle servicing, and repairs.
Maintain an organized and welcoming front office environment.
Manage correspondence, including emails and postal mail.
Order Management:
Order parts and materials needed for vehicle repairs and maintenance.
Coordinate with suppliers to ensure timely delivery of parts and materials.
Track orders and manage inventory levels to ensure the workshop runs smoothly.
Bookkeeping:
Maintain accurate financial records using bookkeeping software.
Process invoices, receipts, and payments.
Reconcile bank statements and manage petty cash.
Prepare financial reports for management as required.
Assist with payroll processing.
Office Management:
Ensure the office is well-stocked with necessary supplies.
Assist with general office tasks as needed to support the team.
The Person
Previous experience in an administrative or bookkeeping role, preferably within a customer-facing environment.
Strong organizational skills with the ability to multitask and prioritize effectively.
Excellent communication and interpersonal skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with bookkeeping software (e.g., QuickBooks, Sage).
Knowledge of the automotive industry is an advantage but not essential.
Ability to work independently and as part of a small, close-knit team.
High attention to detail and a commitment to accuracy in financial record-keeping.
The Offer:
Competitive salary between €35,000 - €38,000 per annum.
