The Company:
Our client are a family-run mechanics business located in Naas, Co. Kildare. With a strong reputation for delivering exceptional customer service and high-quality workmanship, we are looking for a dedicated and organized individual to join our team as a Front of House Administrator / Bookkeeper. This role is central to the smooth running of our business, combining administrative, customer service, and financial responsibilities.
 
Key Responsibilities:
  • Customer Service & Administration:
    • Serve as the first point of contact for customers, both in person and over the phone.
    • Answer incoming calls, respond to customer inquiries, and provide information about our services.
    • Schedule and manage appointments for NCTs, vehicle servicing, and repairs.
    • Maintain an organized and welcoming front office environment.
    • Manage correspondence, including emails and postal mail.
  • Order Management:
    • Order parts and materials needed for vehicle repairs and maintenance.
    • Coordinate with suppliers to ensure timely delivery of parts and materials.
    • Track orders and manage inventory levels to ensure the workshop runs smoothly.
  • Bookkeeping:
    • Maintain accurate financial records using bookkeeping software.
    • Process invoices, receipts, and payments.
    • Reconcile bank statements and manage petty cash.
    • Prepare financial reports for management as required.
    • Assist with payroll processing.
  • Office Management:
    • Ensure the office is well-stocked with necessary supplies.
    • Assist with general office tasks as needed to support the team.
The Person
  • Previous experience in an administrative or bookkeeping role, preferably within a customer-facing environment.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with bookkeeping software (e.g., QuickBooks, Sage).
  • Knowledge of the automotive industry is an advantage but not essential.
  • Ability to work independently and as part of a small, close-knit team.
  • High attention to detail and a commitment to accuracy in financial record-keeping.
The Offer:
